One place for your whole club

Most clubs juggle a spreadsheet for dues, a Word file for the agenda, a notebook for raffle tickets and an email chain for everything else. My Clubs Manager puts it all in one spot, and every part uses the same member list.

Meetings

Plan the agenda, take minutes as you go, and print or save them as a Word file.

Fundraising

Know who has which raffle tickets, who still owes money, and how close you are to the goal.

Finances

Deposits, checks, budget against actual, member dues and reports the board can read.

Members

One list for the whole club. Email members, fill volunteer jobs and track new members from it.

For the secretary

Meetings

From the agenda to the minutes, without retyping anything.

  • Build an agenda in minutes from a ready-made meeting type. Times add up for you.
  • Take minutes during the meeting: attendance from the member list, notes, motions, and votes.
  • Track action items, who owns them, and when they are due. Unfinished items carry over.
  • Print the agenda and minutes, or save them as a Word file.

Fundraising

Raffles, pancake breakfasts, plate sales, golf tournaments, silent auctions, sponsorships, grants, and more.

  • Track who has which raffle tickets and who still owes money.
  • Keep orders, sponsors, volunteers, money in, and money spent in one place.
  • Sponsorships: sponsor levels and open spots, who pledged, who paid, and who still needs a thank-you.
  • Grant tracker: each grant, who is handling it, deadlines and reports due, and money awarded.
  • Step-by-step checklists and how-to guides for each kind of fundraiser.
  • Print sign-out sheets, delivery lists, bid sheets, and receipts.

Finances

A simple ledger and budget, built from a tool a real club uses every month.

  • Keep separate accounts, like day-to-day club money and money raised for the public. You name them.
  • Record deposits and checks with check numbers, mark what cleared the bank, and move money between accounts.
  • See budget against actual for every line at a glance.
  • Track member dues month by month. Payments go into the ledger by themselves.
  • Print invoices, receipts, and monthly and annual reports, and roll over to the next year in one step.

For everyone

Member list

Type your members in once. Meetings, Fundraising and Finances all use the same list.

  • Names, phone numbers, emails, offices and status in one place.
  • Print the list or save it as a spreadsheet.
  • Removed members keep their history, and you can bring them back.

Email, sign-up sheets and new members

Three more ways the member list saves your officers time and helps keep members coming back. Members who hear from the club, get asked to help, and feel welcome from day one are the ones who stay.

Club email

  • Email all members, just the board, or people you pick. Addresses come from your member list.
  • Send the agenda or minutes from Meetings, and dues invoices from Finances.
  • Every email has a one-click unsubscribe link, and you can see who got it.

With every paid plan and the free trial.

Volunteer sign-up sheets

  • Time slots, items to bring, or jobs to do, with how many you need of each.
  • Members add their own names, or share a link so anyone can sign up without an account.
  • Print the roster for the event, and send an email reminder before it.

With the All three tools plan and the free trial.

Membership drive

  • Set a goal and list the people who might join, with who is sponsoring them.
  • Move each person from Interested to New member, and add them to the member list in one step.
  • Share an "Interested in joining?" form, and get reminded when a follow-up is due.

Built for volunteer secretaries and treasurers

Your officers are volunteers, not computer experts. Everything is written in plain words and works the same way on every page.

Your club's information stays yours

Each club sees only its own information. Members can look, and only the right jobs can change things.

The right tools for each job

Invite your officers by email, or copy the invite link and text it. Each person gets a job, and the site shows them what that job needs.

  • Admin: can do everything, including inviting people.
  • Secretary: meetings and the member list.
  • Treasurer: money records and the member list.
  • Fundraising Chair: fundraisers.
  • Member: can look, but not change anything.

Only need some of it? The club Admin turns Meetings, Fundraising or Finances on or off in Club settings. Turning one off hides it and deletes nothing. The treasurer can also choose who may see the Finances pages.

Questions people ask

What is My Clubs Manager?

An online tool for volunteer and nonprofit clubs, such as Lions, Rotary, Kiwanis, PTAs and booster clubs, and veterans groups. Today it has Meetings, Fundraising (including Sponsorships and a Grant tracker), Finances, and a shared member list with jobs and permissions, plus club email, volunteer sign-up sheets and membership drives.

How much does it cost?

Every club starts with a free 30-day trial of all three tools, and no card is needed. After that it is $5 a month per tool or $12 a month for all three, or $25 a year per tool or $60 a year for all three (best value). The agenda builder is free forever on the Free plan. Prices are per club, not per person. Online payment is coming soon.

Is there a founding club offer?

Yes. The first 10 clubs in Lions District 2-S5 get all three tools free for life, in exchange for feedback and a short testimonial. Start a free trial, then send us your club name with the Feedback button. Clubs that are founding clubs on Club Meeting Kit keep it on My Clubs Manager too.

What happens when the free trial ends?

Your club moves to the Free plan by itself. You can keep building, printing and saving agendas for free. Minutes, Fundraising, Finances and club email are locked until you upgrade, and sign-up sheets and membership drives become view-only. Nothing is deleted.

Can we email our members from it?

Yes, with any paid plan and during the free trial (not on the Free plan). The Secretary or an Admin can email all members, just the board, or people they pick, and send the agenda or minutes from Meetings. The Treasurer can email dues invoices from Finances. Every email has a one-click unsubscribe link, and members who unsubscribe are skipped.

What are sign-up sheets and membership drives?

Sign-up sheets let members sign up for time slots, items to bring, or jobs at club events, with a share link for people without an account and an optional email reminder. A membership drive tracks people who might join, from Interested to New member, with a goal, follow-up dates and an "Interested in joining?" form. Both come with the All three tools plan and the free trial.

Can I look around before signing up?

Yes. Press Try the demo club to open a made-up club with meetings, a fundraiser, finances and a member list. Changes are turned off in the demo.

Is my club's information private?

Yes. Each club only sees its own information, and you choose who can make changes. Members can look, and only people with the right job can edit.

Is this an official Lions, Rotary, or Kiwanis tool?

No. My Clubs Manager is independent and is not affiliated with, endorsed by, or sponsored by Lions Clubs International, Rotary International, Kiwanis International, or any other organization.

Built by a club secretary, in Texas

“I’m Mark Shellard, a member of the Seguin Sunrise Lions Club and Technology Chair for Lions District 2-S5. I watched secretaries rebuild the same Google Doc every month and type up minutes from scribbled notes late at night. I built My Clubs Manager so your club’s meetings, fundraising, finances and member list live in one place, and the minutes are done by the time the meeting is over. Tell me what your club needs. I read every message.”
